Expert bookkeeping. Zero guesswork.
Thirty years of experience. Hundreds of millions in transactions across all fifty states. Whether you are an owner-operator running a 10-person crew or a CFO, Controller, or VP of Finance managing 350 people in the field across 13 states, we deliver clean, flat-rate QuickBooks Online bookkeeping so you always know where your business stands.
You run your business. We run your books.
If you are the business owner, your time and energy belong in operations, culture, sales, and developing your people and systems—not sitting at the kitchen table on Sunday night fighting QuickBooks.
And if you are a CFO, VP of Finance, or Controller at a growing multi-state operation, your time belongs in forward-looking cash forecasting, capital allocation, and margin strategy—not babysitting bank feeds, chasing Project Managers for missing cost codes, or manually fixing tens of thousands of stuck records.
Our goal is simple: we take the entire burden of transactional bookkeeping and ledger cleanup off your plate so you and your leadership team can focus on driving the business forward.
You're probably exploring bookkeeping services because one of these happened.
- ✓ You've been doing the books on nights and weekends and you just want your free time back.
- ✓ Your business grew fast, and whoever is doing the books right now is completely overwhelmed.
- ✓ Tax season is here, and your CPA is asking for reconciled financials that you just don't have.
- ✓ You finished a big job, but your books are too messy to tell you if you actually made money.
- ✓ Your bookkeeper just up and quit, and you need a reliable US team to step in and take over right away.
- ✓ The bank or the bonding company is asking for updated financials and WIP schedules, and you need them fast.
- ✓ Your books are an absolute dumpster fire right now (with thousands of stuck records), and you need someone to fix them.
- ✓ You are a CFO or Controller whose team is buried in daily transaction backlog instead of forward forecasting.
If any of these sound familiar, we should talk. We can usually pick up the same week.
What we do.
The Three R's: Recording, Reconciling, and Reporting.
- Recording: We manage and record every daily transaction, including standard project-level job costing. And for multi-division or granular operations, we also track Divisional Classes and/or line-item Cost Codes across all 6 buckets: Labor, Equipment, Materials, Tools, Subcontractors, and Professional Services.
- Reconciling: We connect all of your financial accounts—including banking, credit cards, and loans—using Plaid to create a secure, read-only digital feed of your financial transactions. Plaid supports over 12,000 financial connections.
- Reporting (By the 10th): We generate your Profit & Loss, Balance Sheet, Statement of Cash Flows, AR Aging, and AP Aging by the 10th of every month, guaranteed—along with any other specific reports you need to run your business—provided we have timely access to your account statements and answers to any open categorization questions.
Beyond the Three R's, we can also issue customer invoices, stage vendor and subcontractor bills for your payment approval, and issue 1099s to your subcontractors at the end of the year. We also assist with AIA G702/G703 progress pay applications, insurance and bonding audits, and posting payroll to your payroll provider.
How we operate:
- ✓ We are a fully remote, 100% US-based team headquartered in Pensacola, FL. We never offshore your financial data, and we do not provide onsite in-house bookkeeping.
- ✓ We exclusively work in QuickBooks Online (QBO). You must be an existing QBO customer or be willing to let us help you migrate.
Judgment-Free Historical Overhauls
Running a business is demanding, and we know firsthand how easily the bookkeeping can turn into an absolute rat's nest. Whether you've been trying to manage the books on your own or you're a Controller dealing with the fallout of a previous bookkeeper or botched software sync, we approach every situation with zero judgment. We have seen it all.
If your books are a mess, we can completely simplify your Chart of Accounts so your financial reports are clean and easy to read at a glance, while moving your operational detail into Divisional Classes and Cost Codes. We have even built bulk API tools capable of accurately re-coding over 80,000 historical transactions and time entries at once (see our 6-Division Case Study).
Pricing for historical overhauls is strictly dependent on your specific facts, volume, and goals. We will never start an overhaul without a firm agreement upfront on the scope, schedule, and flat budget of the work.
Built for Businesses of Every Scale (From 5-Person Crews to $65M+ Multi-State Operations)
We have partnered with a wide range of organizations—from small local trade shops, daycares, and churches to complex, multi-state construction and fabrication companies with 350+ field workers and upwards of $65 million in top-line revenue.
For smaller owner-operated businesses, we become your entire bookkeeping department for a fraction of the cost of an in-house hire. For larger companies with an existing CFO, VP of Finance, Controller, or Director of Construction, we plug in as your high-speed transactional ledger and job-costing systems engine—keeping your QuickBooks and project actuals accurate every single day so your leadership team can focus on forecasting and execution.
What's not included.
- No tax advice.
- No filing income tax returns.
- No sales tax filings.
- No competing fractional CFO retainers, financial advice, or forward modeling (though we share our forward-forecasting playbook for free).
- No HR. We post payroll entries to your payroll provider, but withholding calculations, 940s, 941s, and state payroll filings sit with your provider.
- No authorizing or signing payments.
- No collections.
- No formal CPA attest audits.
In short: Accounting looks backward at what happened; Finance and Tax look forward. We record what happened with 100% precision. Your CPA handles what you owe, and you (or your CFO) steer the forecast. We hand your CPA a reconciled file so they aren't billing you three hundred dollars an hour to untangle one.
What you're responsible for.
- Project Identification: For accurate job costing, you or your Project Managers identify which transactions belong to which specific projects.
- Context for Complex
Transactions: For transactions requiring specific classifications, we need you or
your PM to tell us the appropriate class and cost code.
Note: We make this effortless. We provide a custom Missing-Cost-Code Tagger tool that lets you or your PMs pick missing cost codes from a simple dropdown over morning coffee and push them straight back to QuickBooks. - Securely Connect Your Accounts: To get started, you securely connect your bank, credit card, and loan accounts to our system via Plaid. This ensures a seamless, read-only data connection so we can manage your books without ever seeing your passwords.
- Payment & Payroll Approval: You approve the payments. We stage the bills, give you the payables run so you can cut checks or send ACHs, and record all of it. We can sit as a second approver. You or your Superintendents also approve the hours before payroll runs and we post the entries.
- QuickBooks Access: Give us accountant access to QuickBooks Online.
- Job Closeouts: Tell us when a job closes out and what the final number was.
For a typical business owner, that takes about thirty minutes a month.
Fixed Monthly Pricing (And Typical Monthly Ranges)
We don't do hourly billing, stopwatch timers, or surprise invoices. Instead, we offer a straightforward, fixed-price monthly subscription locked in for a full year.
Because every company's books move at a different pace, your exact flat monthly rate is always based on your specific volume and type of transactions—including whether you need divisional classing, line-item cost codes, customer invoicing, payables staging, or year-end 1099s.
Typical Flat-Rate Ranges by Operational Profile & Scope

How the money works.
We operate on a simple monthly subscription model. We do not do the bookkeeping and then try to run you down for payment afterward. We only start the month's work once we have been paid for that month.
To make everyone's life easy and keep the work flowing without interruption, we strongly prefer to set up automatic monthly ACH pulls. We can accept credit cards, but please note that they incur standard processing fees.
It isn't rocket science.
At the end of the day, bookkeeping isn't rocket science—but it does require daily discipline, grit, and deep experience. We have spent three decades running the numbers for businesses across every level of complexity. We can handle your bookkeeping completely—and when you're ready, connect it to our daily job-costing systems so you understand yesterday, today.
