Straight answers. Zero fluff.
Everything business owners, CFOs, Controllers, Project Managers, and CPAs ask us before we start working together—answered in plain English.
Pricing, Billing & Fit
01. How much does your monthly bookkeeping cost—and why don't you list "Bronze, Silver, Gold" packages on the website?
Fake "Bronze, Silver, Gold" package tables on accounting websites are a bait-and-switch. A business with two bank accounts and 40 transactions a month should not pay the same price as a 6-division contractor running 700+ cost codes, AIA progress billing, and 80 active jobs.
Instead of arbitrary packages, we publish an Indicative Monthly Pricing Guide on our Bookkeeping page showing typical ranges by company profile and scope—running from $400–$700/mo for small single-crew shops up to $1,000–$5,000+/mo for multi-division job-costing operations. Your exact flat monthly rate is always based on your specific volume and type of transactions, locked in after we do a quick read-only review of your QuickBooks Online file.
02. Will you ever send me a surprise hourly bill for answering a quick question?
Never. We don't keep a stopwatch running when you call or email us. Your monthly fee is flat and predictable. If your business grows significantly or you ask us to take on a brand-new project (like a historical cleanup or custom systems build), we always agree on the exact scope and flat price upfront before doing a single dollar of work.
03. How does payment work each month?
We work on a straightforward monthly subscription model. We do not do the month's bookkeeping and then chase invoices afterward—we start the month's work once that month is paid. To keep everything running like clockwork without interruption, we set up automatic monthly ACH pulls (credit cards are accepted if preferred, with standard processing fees).
04. Do I have to buy your job-costing and project systems to hire you for bookkeeping?
Not at all. Plenty of our clients hire us strictly for flat-rate monthly bookkeeping (the Three R's: Recording—which includes standard project-level job costing—Reconciling, and Reporting by the 10th). We follow our "Start Slow" rule: we can take the books off your plate first, and you only add our Google Workspace job-costing and project tools if and when you want them.
05. What actually happens on the first 20-minute phone call?
We don't have commissioned salespeople. You talk directly with our leadership team for 20 to 30 minutes. You tell us how your business runs and what's bugging you; we tell you how we operate. You cannot buy anything on Call #1, and if either of us realizes it isn't a fit, saying "No" is always welcome.
Monthly Bookkeeping & Historical Overhauls
06. How does your "Reports by the 10th, Guaranteed" promise work?
We guarantee that your reconciled Profit & Loss, Balance Sheet, Statement of Cash Flows, AR Aging, and AP Aging will be in your inbox by the 10th of every month—as long as your bank/loan statements are available via Plaid and you (or your PMs) have answered any open questions on uncategorized job transactions.
07. My books are an embarrassing mess—should I try to clean them up before letting you look at them?
Please don't! When well-meaning owners or office managers try to "tidy up" QuickBooks before an accountant looks at it, they usually delete or force-reconcile transactions that make the cleanup take twice as long. Leave the mess right where it is. We approach every file with zero judgment—we have literally re-coded over 80,000 messy records in a single company.
08. Why won't QuickBooks Online let me close out old, finished projects—and how do you fix it?
That is the infamous QuickBooks "Billable Lock." If anyone ever checked the "Billable" box on an expense, vendor bill, or timesheet entry attached to a job—and never linked that specific item to a customer invoice—QuickBooks locks the project open forever. We built custom bulk API cleanup tools that strip stuck billable flags and re-code tens of thousands of historical transactions and time entries in days so every dead job can finally be closed.
09. How much of my own time will this take every month?
For a typical business owner, about 30 minutes a month. Your only job is approving payments/payroll and telling us (or having your PMs tell us via our 1-click Missing-Cost-Code Tagger) which project and cost code any mystery transactions belong to.
10. Can you handle invoicing, vendor bill staging, AIA G702/G703 pay apps, and 1099s?
Yes. Beyond the core Three R's, we can issue customer invoices, build AIA G702/G703 style progress pay applications, stage vendor and subcontractor bills in QuickBooks for your payment approval, post payroll entries to your payroll provider, assist with workers' comp and bonding audits, and issue year-end 1099s to your subcontractors.
11. What if we currently use QuickBooks Desktop, Xero, or spreadsheets?
We work exclusively in QuickBooks Online (QBO). If you are currently on QuickBooks Desktop, Xero, Sage, or spreadsheets, our first step is migrating your balances and history cleanly into QuickBooks Online so our team and connected tools can go to work.
Systems, Job Costing & Connected Tools
12. We already pay for Buildertrend, Procore, or ServiceTitan. Do we have to rip it out to work with you?
No. Never rip out software cold turkey in the middle of active jobs. We leave your current software right where it is while we clean up your QuickBooks foundation and deploy our connected Google Workspace tools alongside it. Once your team sees how much faster our daily budgets and morning review sheets work, you can decide on your own timeline which expensive subscriptions you still want to keep paying for.
13. Why do you build inside Google Workspace + QuickBooks instead of selling another standalone app?
Because your team already uses Google Workspace (Sheets, Drive, Calendar, Chat, and Gemini AI) and QuickBooks Online every single day. By wiring those two platforms directly together via their APIs, your data never gets trapped in a walled garden, nobody has to learn a clunky new interface, and we can customize any report or workflow in hours when you say, "It would be cool if..."
14. How do you get field crews to actually log their time to the right cost codes every day?
Crews hate logging time when their phone shows 700 cut-off cost codes they can't read. Our QBO Time Crew Cost-Code Filter assigns each worker only the 8 to 12 codes that apply to their specific trade (and our upcoming custom Field Time App makes it even cleaner). When a carpenter only sees 8 carpentry codes on their phone, logging time before turning the truck key at 4:30 PM takes 60 seconds.
15. How do Project Managers tag missing cost codes without logging into QuickBooks?
You don't want Project Managers poking around inside QuickBooks Online. When a vendor bill or receipt comes in and the PM identifies the job, our bookkeepers record it to that project immediately. If the specific cost code is missing, that item automatically appears on the PM's Google Sheet the next morning. Over coffee, the PM selects the cost code from a dropdown, clicks push, and our script updates QuickBooks automatically.
16. How does your daily project budget show yesterday's labor cost before payroll even runs?
If you wait two weeks for payroll to run before seeing labor costs on a job, you find out you're over budget two weeks too late. Every night, our budgeting engine pulls raw daily hours straight from QBO Time, multiplies them by each worker's burdened hourly cost rate, and combines them with posted bills and expenses from QuickBooks—so you see yesterday's true labor and material spend over this morning's coffee.
17. What does "CPV (Complete Pending Verification)" mean in your task tracker?
In our 7-stage task system, crew members and subcontractors are not allowed to mark a task "Complete." When they finish the physical work, they move the task to CPV (Complete Pending Verification). It stays in CPV until a Superintendent, Foreman, Shop Manager, or PM physically inspects the work and marks it Complete.
18. How does your Paced Onboarding and 12-Month Rate Lock work?
We never let our ambition outrun our execution. Because our Pensacola team personally sets up your Chart of Accounts, maps up to 700+ cost codes, and wires your Google Workspace tools shoulder-to-shoulder with your team, we only onboard a handful of new companies at a time so our existing clients never experience a drop in speed or quality.
Once we review your QuickBooks file and agree on your scope, your flat monthly rate is locked in for a full 12 months—and for Systems clients, every new tool and AI upgrade we release during that year is included automatically at zero extra cost.
Security, Location, CPAs & Larger Multi-State Teams
19. Do I have to give you my bank logins and passwords?
No. You never share your bank passwords with us. You connect your bank, credit card, and loan accounts through Plaid (used by over 12,000 financial institutions), which gives us a secure, encrypted, read-only feed of your transactions and statements without anyone ever having access to move your money.
20. Where is your team located? Do you ever offshore any of the work?
We are headquartered in Pensacola, Florida, and our entire team is 100% US-based. We never offshore or outsource a single transaction overseas.
21. How do you work with my current Tax CPA or Fractional CFO?
Tax CPAs and Fractional CFOs love us because we have a strict Zero-Competition Promise: Accounting looks backward; Finance and Tax look forward. We never prepare tax returns or pitch competing CFO retainers. We record and reconcile the past to the penny every month, and hand your CPA and CFO a clean QuickBooks file by the 10th.
22. We aren't in construction—do you work with other industries?
Yes! While our connected job-costing tools were battle-tested in complex construction, fabrication, architecture, and interior design companies, our flat-rate monthly bookkeeping serves businesses of every kind—from local service companies, retail brands, and medical practices to churches, daycares, and non-profits across all 50 states.
23. Why don't you post videos of your faces on social media?
Because we are operators, bookkeepers, and systems builders—not internet influencers. We protect our team's privacy, keep our heads down, and put 100% of our focus into our clients' books and tools.
24. What if we already have an internal bookkeeper—or what if they just quit this week?
If your bookkeeper just quit, we can usually step in and pick up the reins the exact same week so your billing and reconciliations don't miss a beat. If you have an existing office manager or coordinator you want to keep, we can either take the accounting completely off their plate so they can focus on operations, or give them our connected tools and oversee the monthly reconciliations.
25. We are a larger company (50 to 350+ people across multiple states) with a CFO, Controller, or Director of Construction. How do you plug into an existing leadership team?
In a 100-to-350-person company, the owner isn't doing the books on Sunday night—you already have a CFO, VP of Finance, or Controller, plus Directors of Construction and Estimating. The bottleneck at your scale is that your field and estimating data don't match your ledger cleanly, and your $100k+ managers are wasting hours on manual spreadsheet work.
We plug in right underneath your CFO or Controller as your high-capacity US bookkeeping and systems arm: we clean up stuck QBO records in bulk, manage your 700+ cost codes, connect your CRM and Google Workspace sheets overnight, and automate your daily project budgets and G702/G703 pay apps—saving you from hiring another $250,000+ in regional office clerks while giving your finance lead rock-solid numbers to forecast with.
