Before you book a call, try to filter us out.
Most accounting and software websites spend twenty pages begging for your business. We'd rather save you the time.
We aren't everyone's cup of tea. We have very specific rules about how we keep books, what software we touch, how we get paid, and what we expect from your team. Read through this page first. If you can cross us off your list in the next two minutes, we just saved us both a phone call.
The 60-Second "Filter Us Out" Check
Answer these 6 blunt questions honestly. If any of our non-negotiable rules are a dealbreaker for you, this tool will tell you right now—no email required.
We only work in QuickBooks Online (QBO). Are you on QBO today—or willing to let us move you to QBO?
Are you willing to connect your bank, credit card, and loan accounts via secure, read-only Plaid feeds?
We are a 100% US-based remote team in Pensacola, FL. Are you okay with us NOT sitting at a physical desk in your office?
We do NOT file tax returns (we hand a clean file to your Tax CPA). Are you okay keeping a separate CPA for taxes?
Will you (or your PMs/Supers) spend ~30 minutes a month answering our questions on which job a mystery bill belongs to?
We keep 100% honest books (no shady write-offs) and pull our flat monthly fee upfront via ACH. Good with both?
Cross Us Off Your List Immediately If Any of These Are True.
We turn down work when we know it's going to make both sides miserable. Do not hire us if:
You Want the Cheapest $150/Month Offshore Bookkeeper
If you just want a cheap overseas data-entry service or an automated bot that guesses which categories your transactions belong in, we are too thorough (and too expensive) for you. Every person on our team is 100% US-based.
You Refuse to Use QuickBooks Online
We are QuickBooks Online specialists. If you are married to QuickBooks Desktop, Sage, Xero, or paper ledgers and refuse to move to QuickBooks Online, we aren't the right shop for you.
You Want Someone to "Get Creative" With Personal Expenses
Our first company value is Be Principled. If you want a bookkeeper who will hide personal boats, family vacations, or unrecorded cash under job materials, please call someone else. We keep clean, honest books that stand up to any bank, bonding, or IRS review.
You Want to Disappear for 6 Months at a Time
We take 98% of the work off your plate, but we can't read minds. If you buy $4,200 of lumber at a supply house and neither you nor your PM will spend 30 seconds telling us which job it was for, your job costing won't work.
You Want Us to Sign Checks or Chase Bad Debt
For your own protection and internal controls, we never sign checks, authorize outgoing bank wires, or act as a collection agency. We stage the bills for your approval, and you stay in 100% control of your cash.
You Expect Us to File Your Income Taxes
We do not prepare or file federal or state tax returns. We stay in our lane—recording and reconciling your books to the penny every month so your Tax CPA doesn't have to bill you $300/hour to clean up a mess in March.
Still Here? Here Is Who We Are Built For.
If none of those six rules scared you off, there is a very good chance we were built for each other. Our best clients—from 5-person crews to 350-person multi-state contractors—usually fall into one of two camps:
"Just Take the Books Off Our Plate."
You run a solid business—or you are a CFO or Controller whose team is buried in transaction backlog—and you want your nights, weekends, and mental space back:
- ✓Every bank, credit card, and loan account reconciled to the penny.
- ✓A clean Profit & Loss, Balance Sheet, Cash Flow, AR Aging, and AP Aging in your inbox by the 10th of every month, guaranteed.
- ✓Judgment-free historical cleanup if your books are months or years behind (or have 80,000 stuck records).
- ✓Optional help with invoicing, staging bills, AIA G702/G703 pay apps, and 1099s.
"We Want to Understand Yesterday, Today."
You run a trade contractor, fabrication shop, architecture/design firm, or multi-division company across one town or 13 states, and you are tired of flying blind on active jobs:
- ✓A simple Chart of Accounts paired with clean Divisional Classes and up to 700+ custom Cost Codes.
- ✓Daily line-item project budgets that pull yesterday's crew hours and material bills overnight.
- ✓5-minute morning coffee sheets for Supers and PMs to review timesheets and tag missing cost codes.
- ✓Connected project tasks, RFIs, Google Calendar sync, and automated AIA G702/G703 pay applications.
Worried Our Systems Look Like "Too Much"? Read Our "Start Slow" Rule.
When people read our Systems page and see 12 connected tools, 700+ cost codes, and 7-stage task tracking, some of them think: "That looks great, but my team is buried right now. If I try to change all our software today, my crew will quit."
Good. Because we wouldn't let you dump all of that on your team on Day 1 anyway.
You don't have to buy the whole machine to work with us, and you never have to rip out your current software (like Buildertrend, Procore, or ServiceTitan) overnight:
Just Hand Us the Books
Start with pure monthly bookkeeping. Keep your current software and spreadsheets right where they are. We clean up your QuickBooks in the background and get your monthly reports hitting your inbox by the 10th.
Dial In Classes & Cost Codes
Once your monthly books are humming and you trust how we work together, we simplify your Chart of Accounts and organize your Divisional Classes and Cost Codes so job margins show up cleanly.
Add Tools Only When You're Ready
Whenever you or your managers say "It would be cool if we could see daily budgets or fix crew timecards faster...", we turn on those Google Workspace tools one piece at a time alongside what you already use.
Our Ground Rules for the First 20-Minute Phone Call.
Nobody likes booking a call online only to get trapped on Zoom for an hour with a pushy salesperson reading a script. We don't have salespeople—you talk directly with our leadership team. Because we pace our monthly onboarding so every client's foundation is rock-solid, we don't need to hard-sell anyone. Here is our agreement with you for Call #1:
20 to 30 Minutes, Hard Stop
You tell us how your business is set up and what's bugging you (10 mins). We tell you how we work and answer your blunt questions (10 mins). Then we decide together if there's any reason to take Step 2.
You Can't Buy Anything on Call #1
Even if you wanted to hire us on the first call, we wouldn't let you. We never guess at pricing—we always do a quick, read-only review of your current QuickBooks file first so we can hand you an exact, locked-in flat rate.
"No" Is Always a Great Answer
You never have to say "Let me think about it" just to be polite. If you decide at minute 15—or after seeing our quote—that we aren't the right fit, just tell us "No." We'll part as friends and never hound your inbox.
How to Weigh What We Cost (Before You Even See a Quote).
Because every company's transaction volume and job-costing setup is different, we price every client individually after looking at their QuickBooks file.
Whether you are an owner-operator of a 10-person shop or a CFO, Controller, or COO at a 350-person multi-state contractor, here is the simple math our clients use to decide if our flat monthly fee makes sense:
vs. Doing It Yourself (Or Burning Out Your Controller)
What is an hour of your time worth when you're bidding work, forecasting cash, or with your family? If you or your Controller spend 20 hours a month fighting QuickBooks, doing it in-house is the most expensive job in your company.
vs. Hiring In-House ($65k–$95k/yr Per Seat)
A single full-time bookkeeper or project coordinator costs $5,500 to $8,000+ a month with taxes and benefits—and if they quit or get sick, your back office stops cold. Our US team costs a fraction of a full-time hire and never quits on you.
vs. Adding $250k+ in Extra Office Hires
For larger contractors considering our Connected Systems: if our connected tools keep you from having to hire just one extra $95k Project Manager, Estimator, or Regional Clerk this year, the system pays for itself several times over.
Who Else Gets a Vote? (Bring Them From Day 1).
Changing who touches your books—or how your jobs are tracked—rarely happens in a vacuum. Over the last 30 years, we've learned it works best when everyone who gets a vote is in the room early:
- ✓ Your Business Partner, CEO, or Spouse: If a co-owner, CEO, or spouse helps make financial decisions (or currently helps with the books), invite them to the 20-minute call so they can grill us directly.
- ✓ Your CFO, Controller, or Lead PM: If you are an executive buyer at a larger firm, bring your Controller, Director of Construction, or Lead Estimator so they can see how our tools make their daily life easier, not harder.
- ✓ Your Tax CPA: Tell your CPA you're looking at us. They will be relieved to hear we never compete for tax prep and that our whole job is handing them a clean, reconciled QuickBooks file.
